Cost per meeting calculator
This cost per meeting calculator shows what each held outbound meeting costs once tools and people are counted, what that means per new customer, and the close rate you need to break even. Enter your own monthly numbers to get your results.

How do you calculate cost per meeting?
Add up everything you spend on outbound in a month, then divide by the meetings that actually happened that month. With example costs of $600 in tools and $3,000 in people, and 10 held meetings, each meeting costs $360. Use held meetings, not booked ones, so no-shows count against the number.
What costs should you include?
Include every cost that exists to create meetings: sending and data tools, mailboxes and domains, CRM seats, and the people or agency running outbound. HubSpot's definition of acquisition cost includes sales pay, software, and overhead such as training and management time. Leaving out people cost makes a meeting look cheaper than it is.
How does cost per meeting turn into cost per customer?
Divide cost per held meeting by your close rate from held meetings. At the example $360 per meeting and a 20% close rate, a new customer costs $1,800. That is the outbound part of customer acquisition cost, which HubSpot defines as total acquisition spend divided by new customers in the same period.
What is the break-even close rate?
It is the close rate at which first-year revenue from new customers equals what you spent. Divide total monthly cost by held meetings multiplied by average deal value. At the example numbers, that is $3,600 divided by $50,000, or 7.2%. If your real close rate is below it, the program costs more than it brings in during the first year.
The formula
total cost = tools + people + other
cost per held meeting = total cost / meetings held
new customers = meetings held x close rate
cost per new customer = total cost / new customers
revenue per dollar = (new customers x deal value) / total cost
break-even close rate = total cost / (meetings held x deal value)
Money results are shown to the cent. Monthly figures assume costs and meetings from the same month. If your sales cycle is long, compare costs with meetings and deals from the matching months.
Frequently asked questions
Should I use booked or held meetings?
Held meetings. A booked meeting that never happens cost the same to create, so counting only held meetings shows the real cost.
What deal value should I use?
Use first-year revenue for a simple payback view, or lifetime value if you track it. Use the same choice every month so results stay comparable.
Why is my cost per new customer showing n/a?
It needs a close rate above 0%. With a 0% close rate there are no new customers to divide by.
Does this calculator store my numbers?
No. The math runs in your browser. Your inputs are written into the page address so you can bookmark or share them. Nothing is sent to a server, and the site uses no cookies or trackers.
