How many cold calls does it take to book a meeting?
Divide 1 by your connect rate multiplied by your conversation-to-meeting rate. With example rates of 10% and 20%, that is 50 dials per booked meeting. Divide again by your show rate for dials per held meeting: at an example 80% show rate, it is 62.5 dials. Use your own rates for a real plan.
What is a connect rate?
Connect rate is the share of dials where you reach and speak with the person you called, rather than a voicemail or a gatekeeper. Teams define it differently, so write your definition down. If you count gatekeeper conversations as connects, your conversation-to-meeting rate will be lower to match, and the result stays similar.
How do you plan monthly dial volume?
Multiply your monthly held-meeting target by your dials per held meeting, then divide by calling days for a daily number. At the example rates, 10 held meetings a month need 625 dials, or 32 dials a day across 20 calling days. The calculator rounds the dials-needed results up to whole calls.
Why are the default numbers not benchmarks?
Connect and meeting rates change a lot with the market, the list, the time of day, phone data quality, and how a team defines a connect. A single average would mislead more plans than it helps. The defaults are round numbers so you can check the arithmetic. Pull your real rates from your dialer or CRM.
The formula
dials per booked meeting = 1 / (connect rate x conversation-to-meeting rate)
dials per held meeting = dials per booked meeting / show rate
dials per month = dials per day x calling days
conversations = dials per month x connect rate
meetings booked = conversations x conversation-to-meeting rate
meetings held = meetings booked x show rate
dials needed per month = target x dials per held meeting
Expected results at your pace are shown to one decimal place. Dials needed to hit the target are rounded up to whole calls.
Frequently asked questions
What counts as a conversation?
A connect where you speak with the person long enough to make your ask. Use the same definition for connect rate and conversation-to-meeting rate so the two rates fit together.
Why include the show rate?
Booked meetings do not all happen. Planning from held meetings, and dividing by the show rate, keeps your dial target large enough to cover meetings that cancel or no-show.
Can I use this for a team?
Yes. Enter the combined dials per day for the team, or plan one rep at a time and add up the results.
Does this calculator store my numbers?
No. The math runs in your browser. Your inputs are written into the page address so you can bookmark or share them. Nothing is sent to a server, and the site uses no cookies or trackers.
